loan conditions

1. Request

A request for loan shall be made at least six months in advance in writing or by e-mail (bruikleen@friesmuseum.nl) to the attention of the management. The loan request must in any case include:

  • the start and end date of the exhibition
  • a well-founded reason for the loan
  • a list of up to ten objects with an object number. The object numbers can be found via this link to our collection online: https://collectie.friesmuseum.nl/
  • a facility report indicating the conditions under which the object will be exhibited. If there is not already an existing facilities report, you can use this template: https://files.friesmuseum.nl/files/6/6/0/4/Faciliteitenrapport.pdf

2. Assessment

Lender will consider the request and will check it for the following items: completeness, facilities, availability of the requested objects, condition of the requested objects and internal workload.

3. Costs

Costs for insurance, transport and transport supervision are borne by the borrower. Other costs resulting from the intended loan such as restoration, extra hours incurred during a busy period or framing will be charged to the borrower. The borrower will be informed in advance of any additional costs.

4.Granting or rejecting a loan request.

The lender has the right to reject a loan request in whole or in part.

5. Term

The term of a loan is from a maximum of three weeks prior to and up to three weeks after the end of the intended exhibition. The maximum term for a loan is five years. A request to extend the loan period must be submitted in writing or by e-mail by the borrower no later than two months before the expiration of the period.

6.Climate and security

The borrower will fully comply with the agreed requirements laid down in the loan contract.Borrower is obliged to take good care of the objects on loan and to take all measures which are necessary from the point of view of passive conservation and object safety. In the event of loss or damage to the objects, the borrower undertakes to inform lender immediately. No repair, restoration or other work may be carried out on the loan without the consent of the lender.

7. Insurance, transport and placement

The borrower will adequately insure the loan by means of an 'all risks coverage' and 'from nail to nail' policy. Borrower organizes insurance, transportation and placement of the objects in accordance with the instructions of lender.
Lender reserves the right to designate one or more persons under whose supervision the transport, packing and unpacking and placement or relocation of the loan will take place. Changes to the arrangement will only be carried out after consultation with lender. 

8.Captions

Borrower agrees to use the contractually agreed captions.

9.Images

The use of images of the objects for commercial purposes is only permitted with the written permission of the Fries Museum and in accordance with the agreed conditions. Images can be ordered via the form on the website: order a photograph of an object (friesmuseum.nl). Here you can also find the terms and conditions.

10. Inspection

The lender reserves the right, at the expense of the borrower, to carry out an inspection or have an inspection carried out in respect of the furnishings and facilities with regard to security, safety and climate control.Recommendations resulting from the inspection will be followed up in full by the borrower.

11. Cancellations

The Fries Museum understands that a loan may be cancelled by the borrower for various reasons, but reserves the right to charge the costs already incurred to the borrower. Cancellations must be reported in writing to the registrars via bruikleen@friesmuseum.nl.
